Hosting events (anything @ Rewind)
Our Event Criteria
Rewind is a non-profit community space, and all events hosted in the space must be in line with this. Meaning that all events must be:
- pro-community
- Not encourage or include anti-social or socially destructive behaviour
- Inclusive and diverse (see diversity clause below)
- not for profit
- cannot raise money for a business or capitalist project
- culturally enriching
- raising awareness for a charitable cause
- learning and education based activities and programming
- a focus on building social connections and community
Events we're looking to put on:
- events having more than one elements are favoured and encouraged, such as a gig with a crafting area, or a film followed by gig, as opposed to a stand-alone gig.
- They should attempt to make use of Rewinds existing facilities
Diversity
We want to acknowledge the importance of diverse voices in our event programming. All events must feature either an organiser or artist who identifies as non-male, non-white, or non-heterosexual. If you don’t think the event can meet this very simple requirement, we encourage you to consider “Why not?”. There’s no such thing as an a-political decision or lineup. Please consider the preconceived notions you carry or the message you send when you plan the event.
Obviously, this is the bare minimum, and we encourage and prioritise organisers and artists who consider diversity because it's fundamental, not because we asked you to.
Costs & Expectations
In hosting an event at Rewind you agree to respect the venue and effectively communicate the proceedings of the event as well as any issues that are encountered in planning or during the event so that we can help resolve issues and make changes when necessary. The expectation of respect for the venue is extended to anyone involved in the event, working with Rewind, and anyone in the space.
For a standard 4 to 6 hour event with up to 80 patrons our hire fee is $200. Depending on the scope and premise of the event this can change. We are a small operation run only by volunteer hours from hard-working members. This money directly helps us keep the doors open and the lights on.
Rewind is a flexible space and which you can setup in a variety of ways. The ‘big room’ along with the outside area provides an open space that has accommodated music, arts, crafts, dance, markets, and shared meals among many other activities. The rehearsal room provides a smaller space for performance, workshops, or just a quiet place away from everything else.
Process
Ideally at least 6 weeks before the event you should meet with members of Rewind for you to answer or ask any questions and to get on the same page about the vision for the event. From there we’ll keep in touch with how things are going and arrange meetings accordingly. At least two weeks before, the the details of the event and setup should be figured out, with a plan that includes but isn’t limited to, load in + loud out dates & times, roles and responsibilities, a run-sheet, and any technical or venue requirements.
Roles that must be filled for an event to go ahead include:
- Coordinator, arranging artists and staff and putting together a timeline and budget
- Marketing, doing promo posts for the event and managing ticketing and the doorlist
- Risk and Compliance, assessing risk and complying with internal and external requirements
- Staff including on setup and packdown, door, bar, tech, and media
- Any artists involved in the event
Alcohol at events
Service of alcohol requires an event to be multi-faceted and implicitly discourage binge drinking, and any event asking for bar services must be planned enough time in advance such that the appropriate liquor license application can be made.
All alcoholic beverages are to be purchased and sold by Rewind, except if the organiser has discussed with Rewind and it has been agreed that the organiser will apply for the license themselves. All bar staff must verbally agree to holding an RSA.
Bar stock is to be selected by Rewind, unless the organiser has a special theme or donated beverage they'd like served. Any leftover bar stock is held or discarded by Rewind until it's useful for another event. Drinks to be discarded (e.g. an open bottle of wine) may be done so by sharing with volunteers or crew.
Comp drinks are offered by discussion between Rewind and the organiser. No person or role is entitled to comp drinks, especially just because they're working the event or are a Rewind member.
